BROOKFIELD LACROSSE CLUB VOLUNTEER POLICY

 

 FOR THE 2016 SEASON, THE CLUB HAS CLARIFIED AND EXPANDED ITS VOLUNTEER POLICY.  FAMILIES ARE ENCOURAGED TO CONSIDER A VOLUNTEER COMMITMENT OF 10 HOURS PER YEAR.  A CLUB CONTACT IS PROVIDED FOR EACH POSITION.  MANY POSITIONS ARE OPEN  FOR THIS 2015-2016 SEASON!

IT IS OUR HOPE THAT MANY WILL BECOME INVOLVED WITH POSITIONS THAT UNDOUBTEDLY REQUIRE MORE THAN 10 HOURS.  ALL OF THESE ROLES ARE VITAL TO PROVIDING THE LACROSSE EXPERIENCE WE ALL DESIRE FOR OUR CHILDREN.
 

TEAM SPECIFIC POSITIONS:

 

HEAD COACH:  (ONSITE)

Contact: Boys/Girls Program Coordinator

Attends and run all practices and games

•May be volunteer or paid according to age levels

•Experienced with at least one year of prior coaching experience

•Must register on website with club and with US Lacrosse ($50 insurance fee is reimbursed by club)

 

ASSISTANT COACH:  (ONSITE) OPEN

Contact: Boys/Girls Program Coordinator or Head Coach

Attends and assists with practices and games

•NO prior knowledge of game is necessary; no coaching experience required

•Enthusiasm with kids and positive attitude required

•Ability to attend and assist at most practices and games

•Work with head coach in determining game sideline duties (substituting players, running clock, keeping score, player gear adjustment) and practice duties

•Must register on website with club and with US Lacrosse ($50 insurance fee is reimbursed by club)

 

PARENT TEAM COORDINATOR: (OFFSITE & ONSITE) OPEN

Contact: Head Coach/Manager

Act as liaison between parents, coaches and club

•Schedule volunteers from the team for Icebreaker Tournament concession duties with the Club Concessions Coordinator

•Distribute materials to parents from club (ordered-apparel, picture forms, pictures)

•Organize any team specific schedules (game day snacks)

•Consult with club administrators and coaches to relay tournament schedules, club activities and announcements to parents

 

HOME GAME FIELD ASSISTANT: (ONSITE) OPEN  Can be one time or full season

Contact:  Team Parent Coordinator

 Set up cones, goals and other gear in proper position before game

•Arrive on field 1/2 hour before game to help coaches set up

•Remain at field at end of game to help clean up sidelines and put gear away

•Maintain game time clock if no assistant coaches available

 

SIDELINE HELPER: (ONSITE) Little Bantam Teams Only OPEN    Contact: Team Coaches

Available on sideline during practices/scrimmages to man the first-aid kit and to re-adjust gear for players.  Gives coaches the opportunity to continue to work with players through the multitude of distractions and mishaps for the younger players.

 

TOURNAMENT ASSISTING POSITIONS:

 

TOURNAMENT ANNOUNCER: (ONSITE) OPEN 2 needed per site (Cadigan & BHS)

Contact: Girls/Boys Coordinator

Maintain tournament schedule in announcers both by working the time clock, scoreboard and microphone

•No prior experience with equipment is needed, but ability to stay focused and organized is important

•Coordinate with partner in booth, field attendants, field coordinator, team representatives and referees to maintain smooth schedule

 

TOURNAMENT SETUP/BREAKDOWN ASSISTANTS (ONSITE) OPEN

Contact: Girls//Boys Coordinator

Physically move equipment from/to the sheds to fields or concessions area (tables, chairs, goals, concessions equipment, apparel, safety equipment)

•Those possessing pickup trucks, vans or large SUV are highly desirable!!

 

TOURNAMENT ADVERTISING ASSISTANTS (OFFSITE & ONSITE) OPEN 

Contact: Boys/Girls Coordinator

Assistant with securing business advertisement for tournament

•Email and/or visit local businesses to get tournament advertising

•Obtain business goodies/advertisement to be distributed to attending teams in goody bag

•Help put together team good bags & distribute to team on tournament day

 

TOURNAMENT VENDOR ASSISTANTS (OFFSITE) OPEN

Contact: Girls/Boys Coordinator

Secure vendors to sell goods at tournament through emails or in person

 

CONCESSIONS COORDINATOR (OFFSITE & ONSITE)

Contact: Club Presidents

Determine and secure food, equipment and staffing needed for icebreaker tournaments and any other concession days.

•Coordinate with team coordinators in staffing concessions with parent volunteers

•Supervise concessions before, during and after tournaments with the help of assistants

•Attend club meetings as member of executive board

 

ASSISTANT CONCESSIONS COORDINATOR (OFFSITE & ONSITE) OPEN

Contact: Concessions Coordinator

Assist coordinator in all duties

•Supervise concessions stand during tournaments

 

CONCESSIONS ASSISTANTS  (ONSITE)   OPEN

Contact: Concessions Coordinator or Team Coordinator

Assist in the concession stand while it is open including shifts for set up and clean up

 

APPAREL COORDINATOR (OFFSITE & ONSITE)

Contact: Club Presidents

Work with vendors and players in securing uniforms and review and determine gear for sale in online store and at tournaments

•Maintain inventory of uniforms and distribute as needed to new & returning players

•Maintain online store inventory and orders

•Work with other club member in deciding & securing new apparel items

•Attend club meetings as a member of executive board

•Attend icebreaker tournaments and supervise apparel stand

 

ASSSISTANT  APPAREL COORDINATOR  (ONSITE & OFFSITE)

Contact:  Apparel coordinator

Help the apparel coordinator with uniform orders and online store orders

•Deliver/pickup orders to customers/from vendors

•Assist with uniform ordering/ distribution needs

•Attend icebreaker tournaments to assist and supervise apparel stand

 

APPAREL STAND ASSISTANTS (ONSITE)   OPEN

Contact: Apparel coordinator

Assist at tournament apparel stand.  *Parents who may want to volunteer at tournaments but may have children to supervise and thus can’t work in concessions can volunteer at the apparel stand.

 

 

CLUB ADMINISTRATION POSITIONS

 

BOYS/GIRLS MASTER GAME SCHEDULER: (COMPUTER) OPEN

1 for Boys and 1 for Girls

Contact: Boys/Girls Coordinator

Manages the master game schedule for club through our website and CONNY website

•Confirm all games with opposing team by email

•Confirm referees for home games

•Consult with boys/girls coordinator and coaches in setting up/rescheduling games

 

 FIELD & EQUIPMENT COORDINATOR (ONSITE) OPEN

Contact: Club Presidents or Girls/Boys coordinator

Arrange for set up and break down of fields at beginning and end of season and determine new field and team equipment for the club

•Coordinate to bring goals & rebounders on to field at beginning of season and return to sheds at end of season

•Work with program coordinators and coaches to determine new or returning equipment needed for each team

•Distribute/collect gear bags from coaches at beginning/end of season

 

REGISTRATION ASSISTANT (OFFSITE) OPEN

Contact: boys/girls program coordinator

Assisting to get approval and distribute flyers and signs throughout the town and schools.  Assist  board members with registration process

•Email copies to town officials for approval of singsong flyers

•Make copies for distribution in schools

•Place signs around town at approved sites

 

WEBSITE COORDINATOR (OFFSITE)

Contact: Club presidents

Maintain club website which includes registration system and email system

•Strong computer skills are recommended

•Coordinator with the various club coordinators in maintaining the website system

•Help coordinators and club members with website troubleshooting

•Attend monthly club meetings as a member of Executive Board

 

FACEBOOK PAGE MODERATOR (OFFSITE)

Contact: Website Coordinator

Maintain and update club’s Facebook page

•Coordinate with Website coordinator to continually update Facebook with announcements, team pictures and other pertinent info

 

TREASURER (OFFSITE) Contact: Club Presidents

Maintain club financial records and primary contact for disbursement and collection of funds

•Strong accounting skills recommended

•Maintain current financial accounting for club

•Disburse and collect money on behalf of the club

•Attend tournaments to address financial matters at fields

•Attend monthly club meetings as a member of Executive Board

 

ASSISTANT TREASURER (ONSITE) OPEN

Contact: Treasurer

Assist treasurer at tournaments and season in financial matters for the club

•Attend tournaments to assist treasurer

 

BUDGET DIRECTOR: (OFFSITE)

Worth with treasurer and other board member to create a working budget for the club

•Strong accounting skill recommended

•Create yearly budget for the club to maintain its financial goals

•Assist members in analyzing club expenses and revenues

• 

GIRLS JUNIOR REFEREE COORDINATOR  (OFFSITE)

Contact: Girls Program Coordinator

Coordinator and schedule junior (HS age) referees for home games as appropriate for girls program

•Best suited for a parent with HS girl lacrosse player

•Maintain listing of available junior referees from Brookfield (and New Milford as needed)

•Coordinate with CONNY referee coordinator, team coaches to schedule appropriate referees for home games

•Provide coaches with referee contact info for contact on game day

 

GEAR RENTAL COORDINATOR (OFFSITE & ONSITE) OPEN

Contact: Apparel Coordinator

Maintain offseason equipment rental program available for fall & winter clinic

•Work with apparel coordinator and boys/girls coordinator to secure enough equipment for rent to new players

•Attend first several clinic sessions to fit players with gear and collect rental agreement and monies

•Contact for new players looking to secure rental gear and answer questions

•Determine at end of clinic if player is returning gear or buying it- handle deposit determination

 

SECRETARY (OFFSITE)

Contact: Club presidents

Run club meetings and maintain meeting notes and all club documents

•Schedule meeting locations  & work with club presidents to set agenda

•Maintain agenda at meetings and run meeting order

•Maintain meeting notes to accurately catalog important decisions for all members to review

•Maintain bylaw documents and other club documents

•Attend monthly meetings as member of executive board

 

ASSISTANT SECRETARY (OFFSITE) OPEN

Contact: Secretary

Attend CONNY meetings on behalf of club and report important league info

 

GIRLS/BOYS PROGRAM COORDINATOR  (ONSITE & OFFSITE)

Contact: Club Presidents

Coordinate all teams needs within program; primary contact for all coaches; head coordinator for tournaments and outside contact for all teams

•Determine coaches for each team- make sure coaches have completed required registrations, certifications and any other necessary training

•Help with online registration and player team assignments

•Provide coaches with necessary field schedules, equipment and information from club and league

•Organize the boys/girls tournament from sending initial invitations to setting tournament schedules

•Work with all club coordinators in implementing the tournaments

•Attend monthly club meetings as member of executive board

 

VICE PRESIDENT(S) (ONSITE & OFFSITE)

Contact: Club Presidents

Assist presidents with various duties involved with running the club and tournaments.

Work with president(s) to identify areas that need additional attention including but not limited to any prior listed volunteer positions that are not filled. 

In the absence or the disability of the President, the Vice President shall perform such other duties as may be assigned by the Board of Directors.

 

PRESIDENT(S) ONSITE & OFFSITE)

Contact: Current club presidents/members of Board of Directors

The President shall have general supervision of the affairs of the corporation and have full power to do all things inherent to the office and incident thereto.
